Privacy Policy

1. Introduction

EQ Community Inc. ("EQ," "we," "us," or "our") operates the EQ platform, an AI agent platform designed for the staffing and recruiting industry. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our platform, website, and related services (collectively, the "Service").

By accessing or using the Service, you agree to the collection and use of information in accordance with this policy. If you do not agree, please do not use the Service.

2. Information We Collect

2.1 Account Information

When you create an account or workspace, we collect your name, email address, company name, and other profile information you provide.

2.2 Integration Data

When you connect third-party services, we collect and store OAuth tokens and associated metadata to maintain your connections. The integrations we support include:

  • Google (Gmail, Google Calendar, Google Drive) — We request access to read and send emails, read and manage calendar events, and browse files in Google Drive. We use Google's OAuth 2.0 protocol and store encrypted refresh tokens to maintain your connection. We access only the data necessary to power the AI agent workflows you configure.
  • Microsoft (Outlook, Microsoft Calendar, OneDrive) — Similar to Google, we request access to email, calendar, and file storage via Microsoft's OAuth 2.0 protocol.
  • Salesforce — We connect to your Salesforce instance to read and write CRM records as directed by your configured agent workflows.
  • Other integrations — We may support additional integrations (e.g., applicant tracking systems, voice platforms) that require API credentials. These are stored securely and used only for the purposes you configure.

2.3 Documents and Uploads

When you upload documents (such as resumes, CVs, or other files), we process them to extract structured data using AI models. Uploaded content is used solely to provide the Service and is not used to train AI models.

2.4 Usage Data

We automatically collect information about how you interact with the Service, including pages viewed, features used, timestamps, browser type, and device information.

3. How We Use Your Information

We use the information we collect to:

  • Provide, operate, and maintain the Service
  • Power AI agent workflows, including shadow mode observations, resume parsing, email processing, calendar management, and CRM automation
  • Process and analyze documents you upload
  • Generate reports, build specifications, and agent recommendations
  • Send transactional emails and notifications related to your account
  • Monitor and improve the performance and reliability of the Service
  • Respond to your requests and provide customer support
  • Comply with legal obligations

4. Third-Party Services

We use the following third-party services to operate the platform. Each has its own privacy policy governing the use of your data:

  • Google Gemini API — AI model provider for text generation, document analysis, and structured data extraction
  • OpenAI — Alternative AI model provider
  • Anthropic — Alternative AI model provider
  • Supabase — Database hosting and authentication
  • Vercel — Application hosting and deployment
  • Resend — Transactional email delivery

We do not sell your personal information to any third party. Data shared with third-party AI providers is used solely to process your requests and is not used to train their models.

5. Google API Services — Limited Use Disclosure

EQ's use and transfer to any other app of information received from Google APIs will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

Specifically:

  • We only access Google user data that is necessary to provide the features you have explicitly enabled.
  • We do not use Google user data for advertising purposes.
  • We do not transfer Google user data to third parties except as necessary to provide the Service, as required by law, or with your explicit consent.
  • We do not use Google user data to train AI or machine learning models.
  • Humans may access Google user data only for security purposes, to investigate abuse, to comply with legal requirements, or with your consent.

6. Data Storage and Security

We take the security of your data seriously and implement appropriate technical and organizational measures to protect it:

  • OAuth tokens are stored in an encrypted vault and are never logged or exposed in application outputs.
  • All data in transit is encrypted using TLS/HTTPS.
  • Database access is restricted using row-level security policies.
  • API keys and credentials are stored in environment variables and are never committed to source code repositories.
  • We conduct regular security reviews of our infrastructure and access controls.

While we strive to use commercially acceptable means to protect your data, no method of electronic transmission or storage is 100% secure, and we cannot guarantee absolute security.

7. Data Retention

We retain your data for as long as your account is active or as needed to provide the Service. If you request deletion of your account, we will delete your personal data and integration connections within 30 days, except where we are required to retain it for legal or compliance purposes.

Processed document data (such as parsed resume fields) is retained as part of your workspace data and is deleted when you delete your workspace or request data removal.

8. Your Rights

Depending on your location, you may have the following rights:

  • Access — Request a copy of the personal data we hold about you.
  • Correction — Request correction of inaccurate personal data.
  • Deletion — Request deletion of your personal data.
  • Portability — Request your data in a structured, machine-readable format.
  • Withdrawal of consent — Revoke consent for data processing where consent is the legal basis.
  • Disconnect integrations — You can disconnect any third-party integration at any time from your workspace settings, which revokes our access to that service.

9. Cookies

We use essential cookies to maintain your session and authentication state. We use Vercel Analytics to collect anonymous usage data to improve the Service. We do not use third-party advertising cookies or trackers.

10. Children's Privacy

The Service is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If we become aware that we have collected personal data from a child, we will take steps to delete it promptly.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new policy on this page and updating the "Last updated" date. Continued use of the Service after changes constitutes acceptance of the revised policy.
