Built-in guardrails

  • Every decision must cite a verbatim quote from the transcript
  • Every action item must cite a verbatim quote from the transcript
  • Never invent attendees — only list speakers explicitly labeled in the transcript
  • Never invent owners or due dates for action items — only set them when the transcript states them
  • Skip small talk unless it carries business context

What you control

  • Routing rules — match by title / attendee / body to pick recipients + format
  • Default delivery inbox and leadership CC list
  • Subject prefix per route (e.g. "Exec Summary: ", "[Team Recap] ")
  • HTML vs plaintext email format per route
  • Whether the follow-up draft block is included (per route)
  • Follow-up tone bias (warm / direct / internal / client-facing)
